1. Policy purpose
This Policy explains how cancellation, rescheduling, suspension, project inactivity, and refund requests are handled for Mindful Readers services. A signed proposal or service agreement may establish project-specific rules. When project-specific terms conflict with this Policy, the written project-specific terms control.
2. Written requests
A cancellation or rescheduling request must be made in writing and identify the client, service, project, requested effective date, and reason. A request is not effective merely because access is removed from an account, a payment method fails, or a client stops responding. Mindful Readers will confirm the effective date and any remaining obligations after reviewing the project record.
3. One-time projects before work begins
If a client cancels a one-time project before substantive onboarding, research, planning, scheduling, or production begins, Mindful Readers will review the prepaid amount against work already performed and nonrecoverable commitments. Any unearned balance may be refunded, less payment-processing costs and approved third-party expenses that cannot be recovered.
An initial payment is not automatically fully refundable merely because final deliverables have not yet been produced. Reserving production time, reviewing source materials, preparing the brief, and establishing creative direction are compensable project activities.
4. Cancellation after work begins
When cancellation occurs after work begins, the client is responsible for completed work, work in progress, reserved time that cannot reasonably be reassigned, approved third-party costs, and other earned fees through the effective cancellation date. Mindful Readers may provide available completed or partially completed materials after all amounts due are paid, but unfinished files may not be suitable for publication.
If prepaid amounts exceed earned fees and nonrecoverable costs, Mindful Readers will determine whether an unearned balance is refundable. If earned fees exceed amounts paid, the remaining balance will be invoiced.
5. Monthly services
Monthly social content and advertising management reserve ongoing capacity. Unless a written agreement provides a different notice period, cancellation should be submitted at least ten calendar days before the next service period. A cancellation received later may take effect after the next scheduled period if work, planning, or capacity for that period has already been committed.
Fees for a service period already underway are generally nonrefundable because planning, monitoring, content preparation, and availability occur throughout the period. Cancellation of management services does not automatically stop platform advertising spend; the client should confirm campaign status and billing directly within the relevant account.
6. Rescheduling
A client may request one reasonable schedule adjustment, subject to availability. Notice should be provided as soon as possible and, when practical, at least five business days before a scheduled workshop, review, launch, or production milestone. Repeated rescheduling, short-notice changes, or delays exceeding the original production window may require a revised schedule or additional fee.
7. Client delay and inactive projects
If the client does not provide information, access, feedback, approval, or payment required to proceed, Mindful Readers may pause the schedule. A pause does not create a refund right for work already performed or capacity already reserved. After thirty consecutive days of client inactivity, Mindful Readers may close the project upon written notice and invoice earned amounts.
Restarting a closed or materially delayed project is subject to availability and may require a new schedule, updated pricing, refreshed platform review, or a reactivation payment.
8. Cancellation by Mindful Readers
Mindful Readers may suspend or cancel services for nonpayment, unlawful or misleading instructions, harassment, unsafe conduct, material breach, refusal to provide required approvals, unauthorized use of third-party materials, platform-policy risk, or circumstances that make responsible performance impracticable. When cancellation is not caused by client breach, any unearned prepaid amount will be reviewed for refund after deduction of earned work and nonrecoverable costs.
9. Advertising spend and third-party costs
Advertising spend paid to a platform, processing fees, licensed assets, stock media, fonts, music, talent, printing, subscriptions, rush services, and other third-party charges are governed by the relevant provider and are not refundable by Mindful Readers after commitment or use. The client remains responsible for platform charges incurred through the effective campaign-stop time.
10. Creative dissatisfaction
Creative services involve professional judgment and client participation. A refund is not automatically available because a client changes preference after approving the brief or direction, because a stakeholder joins late, or because content does not produce a desired market response. Mindful Readers will complete included revisions and correct material departures from the approved scope. Additional concepts or a new direction may require a new scope.
11. Platform rejection or account action
A platform's rejection, restriction, suspension, disapproval, algorithm change, or account action does not by itself create a refund right. Mindful Readers may assist with reasonable creative adjustments or administrative review when included in the scope, but platforms make independent decisions and may retain their own fees.
12. Refund method and timing
An approved refund will normally be returned using the original payment method when reasonably available. Processing time depends on the financial provider and may continue after Mindful Readers initiates the refund. Refunds will not be paid to an unrelated third party. Mindful Readers may require confirmation of current billing information and resolution of outstanding invoices before issuing a refund.
13. Disputes
A client should raise a cancellation or refund concern promptly and provide the relevant project name, invoice, dates, and explanation. The parties will review the approved scope, work record, costs, and communications in good faith. Initiating a chargeback without first raising a good-faith billing concern does not cancel contractual obligations and may delay access to project files.
14. Policy changes
This Policy may be updated for future engagements. The version in effect when a project is accepted will generally govern unless the parties agree otherwise or applicable law requires a different result. Nothing in this Policy limits a refund, cancellation, or other right that cannot lawfully be waived.
